Committee Membership Report Cheat Sheet

The Personify Data Analyzer AOA Committee report is especially useful for building lists of both Volunteer members as well as Affiliate staff. This report requires the user, you, to know about the various roles within our extended organization to achieve useful results.

 

Access the report

From the Personify home page select Data Analyzer from the Analytics group. Select and expand Folders->Public Folders->AOA->AOA Committee. Select Committee Membership from the right panel.

The report will run and display in the right panel. Of special interest are the Input Controls in the adjacent sidebar.

The Report screen shows 3 main areas: the Input Controls, the Report itself, and the tabs along the bottom that select the report’s format. If you know you will want to run the report Ungrouped, select the Ungrouped tab first since any Input Controls you choose will need to be re-created when you change to another tab.

Work with the Input Controls

The strategy is to eliminate the constituents you don’t need in your report. If for instance you want a list of all Affiliate Executive Directors you will:

  1. Select the Ungrouped tab
  2. Go to the Input Controls and start by de-selecting Select (All) then choosing AFFILIATE in the Committee Class Code section:

3.    Select All under Committee Name

4.    Deselect ALL under Positions, then select Executive Director. This is where your knowledge is applied; are there any positions that function as Executive Director that have a different title? Is Chief Executive Officer the same role as Executive Director? If so, be sure and select that.

5.    Deselect Participation and select Active

6.    Select (all) under Term End

7.    Leave Membership Status selected

8.    Leave Gender Code selected

9.    Leave Beneficiary Form selected

10.  Leave Conflict Form selected

 

You should see a report that looks like this:

 

Export the report to Excel

a.    Click the Export button

b.    Choose “Export Current Report As.” Note: If you choose “Export Document”, all tabs in the report will export to Excel.

c.     Select “Excel 2007.” Excel will open with the report you created.
