Personal Demographics
Personal demographics refer to data collected that is not affiliated directly with an individual’s professional career.
To View/Update constituent personal demographics:
- Customer Class: The classification of the customer you are working with. The following selections are available within the drop down menu:
- Individual: An individual within the database.
- AOA Staff: An individual within the database who is currently employed by the American Optometric Association. (AOA) This designation is used for communication lists pulled from Personify.

- Customer Status: Customer status indicates the status of the individual within the Personify database.
Note: A constituent’s status has no bearing on the membership status of an individual.

The following customer statuses are available within the drop down:

- Active: Individual record is active and can place new orders, generate renewals, add new addresses, create contact tracking records, join committees, and have relationships.
- Deceased: Individual record that indicates an individual is deceased. This will also be indicated in the CRM360® Header.

Note: This has no bearing on the membership of the individual. Flagging an individual as deceased does not update memberships, product balances, and solicitations. Please refer to the Deceased Processing section in the Membership Processing documentation.

- Duplicate: Individuals who have been merged through the duplicate verification process will have a status of Duplicate. This will also be indicated in the CRM360® Header.

Note: Constituents cannot be marked as duplicate manually. This can only be marked as such using the Duplicate Verification process. If you need to mark a record as duplicate, please report the duplicate pair through the AOA Service Catalog.

- Inactive: Individual record is unavailable and no longer viewable or changeable.
NOTE: Records that are marked as Inactive should include a comment indicating exactly why the record was made inactive.
- Originally Joined AOA: The date for this field displays the date which a constituent originally joins the AOA. This field was converted from the AOA’s legacy system.
- Ethnicity and race are demographics which the AOA will follow the conformity to the United States Census.
a. Ethnicity: Ethnicity is a socially defined category of people who identify with each other based upon a common ancestral, social, cultural or national experience. In conformity with the US Census Bureau, the AOA currently tracks two ethnicities, Hispanic and Non-Hispanic.
b. Race checkboxes: Race is defined by each of the major divisions of humankind or having distinct physical characteristics. In conformity with the US Census Bureau, the AOA currently tracks the following races:
· American Indian/Alaskan Native
· Black/African American
· Hawaiian/Pacific Islander
· Asian
· White
· Other

- Birth Date: Birth date is the date of birth as indicated by the constituent.
- Age: Age is a read-only field which will calculate in years the difference between the current date and the birth date.

- Status Date: The status date is set to the date which the customer was created, or the last time the customer’s status was updated in the system.
- Gender: The gender indicates the biological state of being male, female or unknown.
- Marital Status: The marital status will indicate the individual’s state of being single, married, divorced, or unknown.
- Spouse First Name: Type in the name of the constituent’s spouse’s first name.
NOTE: Spouse First Name is a free-form text field and does NOT relate to any customer relationships within Personify.
