Professional Demographics

To View/Update a constituent’s professional demographics:

  1. Job Function:  The primary job function of a constituent’s professional demographics tracks the area in which an employee works within the field of optometry.  Job functions included in the drop down are:

·          Administration

·         Clinical/Patient Care

·         Coding/Billing

·         Finance

·         Office Management

·         Optical Dispensing

·         Optical Lab

·         Other

NOTE:  Job Function is currently being used to track the job function of a Paraoptometric.  This data is gathered from the online staff management tool through MyAOA.

  1. Primary Job Title:  Enter the constituents Primary Job Title.  This job title is then automatically added to the Primary Job Title on the Add Additional Customer Address screen when creating a new address for this individual.

Updating a constituent’s primary job title may have other implications for additional addresses added or existing on the CRM360® profile.

NOTE:  When you change the Primary Job Title, the system will ask you if you want to update the job title on all “Work” addresses.  Similarly, if you change the Job Title on the Add Additional Customer Address screen, the system will ask if you want to update the Primary Job title of the constituent.

NOTE:  You should ONLY update the Primary Job Title from the Demographics screen, because if you update the Job Title on the Additional Customer Address screen and select to update the Primary Job Title of the constituent, the system will only update the Primary Job Title on the Demographics screen and NOT update the Job Title on any other work addresses that have the same job title.

  1. NPI Number:  The NPI is the health care provider identification system adopted by the US Department of Health and Human Services as part of the implementation of the Health Insurance Portability and Accountability Act (HIPAA).  All health care providers that are considered covered entities under HIPAA, and those who file claims electronically or use a clearinghouse to bill insurance, are required to apply for an NPI.  All other health care providers are eligible to receive an NPI if they desire.  The NPI will eliminate the need for health care providers to use different identification numbers when conducting business with multiple health plans.  The NPI is a 10-position, intelligence-free numeric identifier (10-digit number). This means that the numbers do not carry other information about healthcare providers, such as the state in which they live or their medical specialty. The NPI must be used in lieu of legacy provider identifiers in the HIPAA standards transactions. The NPI will ultimately replace all legacy or billing numbers for all health insurance plans; both public and private. 
  2. OE Tracker Number:  The OE Tracker number is used to capture and store continuing education attendance data for optometrists.  The information is retained in the secure Association of Regulatory Boards of Optometry (ARBO) database and be accessed online by providers and the licensing board.  The OE Tracker can save providers time and reduce their paperwork by tracking all of their continuing education (CE) electronically.

  1. Languages:  The language data grid allows you to track the methods of communication, either spoken or written consisting of the use of words in a structured and conventional way used by a particular community or country.  To add a language, click the Add button above the language title bar, and a row will be added to the data grid.  Use the drop down then to select from the list of available languages.

Alternatively, use the Delete button to remove the selected language.  Currently, AOA supports the following languages:

  1. Provider Emphasis:  The provider emphasis data grid allows you to track the areas of special importance, value, or prominence for an optometrist.  The AOA allows providers to track these emphases in the Find a Doctor feature through the AOA website.  To add a special emphasis, click the Add button above the Emphasis title bar.  Use the drop down menu to select from the list of available emphases.

Providers can update their own profiles though MyAOA or through the back office in the demographics field.  Alternatively, click the Delete button to remove the selected emphasis.  AOA tracks the following emphases:
