Setting Up Lockbox File Mapping

The Lockbox File Mapping screen allows users to define a mapping for every field in the lockbox file to the holding master and holding details tables.  These tables store the uploaded data from the lockbox file, which can then be viewed and corrected before posting.

If users are using a complex file, then a header and footer must be defined.  This includes the record type header and the record type detail.  For record type header the following should be set.

·         Identifier: H

·         Start Position: 1

·         End Position 1

·         Change the corresponding mapping of the fields (such as by extending it by 1)

For Record Type Detail, the following should set:

·         Identifier = D

·         Start Position:  1

·         End Position:  1

·         Change the mapping of all the fields.

From the toolbar, select Accounting > Lockbox > Lockbox File Mapping.

Choose the option to Create New Mapping and the Lockbox File Mapping screen will display.

1.    Enter a Map ID.  This is a user-defined alphanumeric value.

2.    If this is not a complex file, meaning there is no header or footer, click Add Mapping and Personify will add the Map ID to the Mapping Definition table.

a.    Fields will only be read by Personify if mapped.

b.    Extraneous fields do not need to be mapped.

c.    A header may be required if the Auto Create Batch option is being used.

3.    If this is a complex file, meaning a header or footer will be included, check the Complex File checkbox, and click Add Mapping.

a.    Select the Record Type from the drop down menu.

b.    Enter a Record Identifier.  This value must exist in the file.

c.    Enter a Start Position.

d.    Enter an End Position.

e.    Save  any changes.

Personify will add the Map ID to the Mapping Definition table.

To define the lockbox fields provided on the bank file and map them to Personify:

4.    Click Add field Mapping.

a.    Enter a Field Name.  This is typically the name of the lockbox column.

b.    Enter a Target Table.  From the drop down either select the detail lockbox or master lockbox holding tables.

c.    Select a Target Field form the drop down.  Select the column to which the field mapping will be sent.

d.    Select a Map Type from the drop down.  Select either column, constant, or sequence.

e.    Enter the Start Position.

f.     Enter the End Position.

g.    Save  any changes.

5.    From the Lockbox Setup task category, click Validate Setup.
