Facilities
If the organization needs to
assign meeting rooms to breakout sessions or general sessions, you must set up
the facility before setting up the meeting. The facility must be defined as a
company in the system before the facility can be setup. This task only needs to
be performed once.
Note: If the organization does
not need to assign a facility to a meeting, you can skip this step. If this is
a face-to-face meeting and can be registered for on the Web, then include the
facility information.
The Meetings Facility Maintenance
screen is used to create an inventory of convention centers, hotels, and rooms.
This screen represents a central facilities application in which internal and
external meeting and conference rooms are defined by name, size, and
configuration. This screen also assists in tracking meeting expenses, such as
the cost of a hotel or room rentals.
Personify allows you to create
meetings that take place in various rooms. Before you can assign a room to breakout
session or event, you must set up facilities in the system first. This step
can be skipped should the meeting not require a facility.
Facilities are Personify
constituents identified with the Constituent Class of Facility. They
are another segment in the constituent data.
When creating the Facility, it
is important to enter the primary contact of that facility. When you enter this
information, be sure to link the address and create the employment link between
the contact and the newly created facility!
