Updating an Existing Credit Card in CRM360®
Reissued cards are a common occurrence – due to loss, theft,
or a suspected security breach in the processing Cards also get reissued when
banks merge or the constituent’s name changes the reissued card may not
resemble the original card (e.g., in the case of a bank merger, the Receipt
Type may on the new card be a Mastercard even through the previous card was a
Visa.)
When a card is updated, the system will check for all
instances of that card based on the information available (i.e. the first 6 and
last 4 digits and any other pertinent details). Instances of the same card can
be identified by selecting records from the profile table based on unique
values such as:

Constituent ID Number and sub customer ID number
·
Credit Card reference numbers
·
Credit Card receipt types
For example, if a staff user in the back office updates the
expiration date on a credit card associated with a payment schedule, the system
is intelligent enough to understand that another credit card profile is the
same card number but was processed by a different merchant. That record’s
expiration date is updated as well.
For example, you have the American Optometric Association
that handles payments using PayPal/Verisign. State affiliates have their own
websites for meetings, certifications, etc. using CyberSource or Vantiv. A
member has a Visa credit card ending in 1234 on file for Marketplace purchases
but has the same card on file for automatic processing for dues payments.
Because of both of these transactions, PayPal/Verisign provides a token for the
Visa ending in 1234 for Marketplace, and CyberSource or Vantiv has provided a
different token for the same Visa ending in 1234 for dues. Two separate records
will exist in the customer credit card profiles table. An update to the card
from either the website or back-office will update both of the tokens.
You can use the icon shown below which indicates that the
selected credit card is linked to a future scheduled payment, recurring
fundraising gift, or an order defined to auto renew to that card.

To change an existing credit card:
1.
From the Financial Data task category in CRM360® click the Credit
Card Information screen task. The Saved Credit Cards screen will display.

2.
If needed, update the Expiration Date, Name on the card,
or Credit Card Address.

3.
If you need to make any other changes to the credit card, you must
replace the card. Select the appropriate credit card from the data grid on the
left and click the Replace this Card button. The Replace Saved Credit
Card window displays.

Save your changes to the CRM360® record using the save
icon
in the upper right-hand corner of the screen.
Note: You must be assigned to a
security group with the “Replace Credit Card” security access point assigned in
order for this button to be enabled. IF you do not have access, please reach

5. Make the
required changes as needed to the card information such as the Card Type, Card
Number, etc. When a card number is typed over, the following automatic updates
occur:

The newly entered card number is used to create a new record
(with the expiration, receipt type, etc. entered by the user for the new credit
card)
·
The previous card’s credit card profile ID is replaced in the
related tables that store ‘credit card of record’ credit card profile ID, and
payment schedule credit card profile IDs.
·
The previous card is no longer visible in the constituent’s list
of saved credits cards in CRM360® or online.
6. Click OK.
The token for the newly entered card is obtained, and the new record is added
to the database. The system fins all instances of the old credit card and
replaces it with the new cards IDs. Changes to all fields except card number
will cause an update to the card profile.

Save your changes to the CRM360® record using the save
icon
in the upper right-hand corner of the screen.
