Defining a Recognition Structure

The Recognition Structure for Fundraising screen permits the addition and management of recognition levels by constituent type. Recognition structures allow you to define giving levels that qualify donors for special recognition. You can define multiple recognition structures and define separate recognition structures for campaigns. When a fundraising gift is donated or recorded for a constituent, Personify360 determines if this constituent should receive credit for the donation toward a recognition level. Personify360 performs recognition calculations based on hard credits only. Who earns the hard credits is defined at the organization level and is always the Bill-to Customer (i.e., constituent financially responsible for the contribution.

You can define the following for recognition structures:

  • The number of months that dinner has to achieve a given threshold
  • A lifetime structure with no time limits
  • All donations are counted towards earning recognition.

You can define multiple recognition levels within one structure assigned to a campaign/fund and others across the system for lifetime giving awards. Recognition levels recognize both individual & company donors for their contributions to the organization. Different recognition levels can be defined for each. Personify360 awards contributors who give specific amounts of money to either a Campaign or Fund.

Levels include the following:

  • Reward levels
  • Club levels
  • Other recognition levels reflect the amount a donor gives to the organization.

Once you have defined recognition structures, you can view a donor's recognition history.

To define recognition structures:

  1. Select Fundraising > Fundraising Launch on the toolbar to display the Fundraising Launch screen.
  2. Click the Define Recognition Structures button, and the Recognition Structure screen opens in a new tab.

  1. Here you can click Search to find all the recognition structures set up within your organization. The Create New button will allow you to build a new structure while the Select button opens the highlighted row from the search results.

  1. From the Recognition Levels section, update the following parameters to define your Recognition Structure further.
    1. Enter a unique code for the Recognition Structure name. Once you've defined the name, you get the ability to add giving levels.
    2. Also, provide the Description displayed throughout Personify360 wherever a recognition structure is selected.
    3. Use the Qualifying Months parameter to enter the number of months over which a donor must make contributions to achieve the threshold of giving for any of the defined giving levels. For example, any donation given after 13 months would reset the recognition for a constituent.
  2. Update the following checkboxes to ensure your recognition level operates as intended.
    1. Check the Active checkbox to indicate the recognition structure is active. Personify360 only uses active fund recognition structures to calculate whether a donor has earned a giving level.
    2. When you check the Lifetime checkbox, this indicates that the recognition level is cumulative with no time limit. In other words, a donor has a lifetime to achieve the recognition level. Perosnify360 sets the Qualifying Months field to zero (0) when checked.
    3. Utilize the Always Process checkbox to ensure this recognition structure is included in processing, even if it is not referenced in a campaign or fund. An organization can have multiple recognition structures defined to process, which would mean that a donor's contribution is counted for more than one recognition structure. Basically, all donations are counted towards earning recognition.

  1. On the Recognition Levels tab, you can add or modify existing recognition levels within the structure.
    1. Use the Add button to add a new row to the data grid. Select a row to modify any details.
    2. Select the Donor Type from the drop-down menu.
To ensure your data is accurate; AOA recommends only using the Company & Individual constituent types.
  1. Enter a unique Recognition Level description; for example, Gold, Silver, Friend, or Patron. The maximum length is 24 characters.
  2. Enter the Minimum Amount that a donor must contribute to be part of this giving level.
  3. Check the Active checkbox to indicate the recognition level is active within the structure. Donors only receive credit towards active recognition levels when making donations.

  1. On the Campaign References tab, you can review the campaigns that reference this recognition structure.

  1. Use the save button to save your changes.
