Sell Conference Time by the Hour
It might be useful to accommodate busy constituents by
allowing them to purchase fractions of a conference at an hourly rate. The
general steps for this are:

Determine prices, including early bird and late bird
·
In the Parent Product-> Product Maintenance-> Define Rates
and Pricing Screen, add $0.00 Daily Rate Structure(s) for the constituents who
will purchase by the hour. The hourly product will be created as a sub-product
of the daily product.

Create the hourly product
Add a Daily Rate
Structure to the Main Meeting Product.
This is a $0.00 product. The
hourly products contained within the Daily Rate, will have costs associated
with them. Be sure that GL and Revenue accounts are entered and Validate the
set up.
Create the Hourly product.
1.
Go to the Related Tasks Screen Task category and select Create
a New Product for Meeting.
The Product Maintenance |General Setup screen opens.
a-d) Create a Product with an appropriate name: perhaps
“Hourly Product” or some such. The Product Name and Invoice Description should
both have this name.
e) Product Class is Breakout Session.
f) Be sure the begin and end times are set to a range that
include the dates the product is available.
Define Rates and Pricing for the Hourly Product
After selecting Define Rates and Pricing from the
Screen Tasks panel:
1.
Use Add
Rate to create the Rate Structure for the
Hourly product. A List Rate and a Member Rate would be chosen at a minimum, but
Student and Para rate structures are also available. Pricing is defined like
all meeting products, with early bird rates, etc.
2.
For each rate, create pricing in the
Pricing Detail, as you would for any meeting product, i.e., Member vs.
Non-member, early bird, etc.
3.
Complete the product Definition: GL
Accounts, Revenue Accounts, etc. Validate the setup to be sure the basics are
configured correctly.
4. Once the product
is defined, priced and tied to the accounting system, the remaining task is to
define the Session Control. In the Screen Tasks sidebar (Subsystem Specific)
select Define Capacity & Session Control. In the Special Session Control
area, enter the maximum number of hours a constituent can purchase.
Note: This hourly setup allows
back-office registration in hourly increments
