Selecting General Personify Outlook Plug-In Alert Options
Users can define the following alert and contact settings
from the General tab on the Personify Account Settings screen:

Don’t alert me when recipient(s) are not found in
Personify and a Contact Tracking item cannot be created - if users do not
select this option, the following message will display when you try to send an
email, meeting request, or task and the plug-in cannot find the recipient(s) in
Personify and, therefore, a contact tracking record will not be created:
When sending an
email, meeting request, or task to/regarding a Personify contact and the “Save
to Personify” checkbox is selected, you may receive the following message:
If users select the Don’t display this screen again
checkbox on the screen above, the “Don’t alert me when recipient(s) are not
found in Personify and a Contact Tracking item cannot be created” checkbox on
the General tab of the Personify Account Settings screen will also be selected.

Always create a note in Outlook when recipient(s) are not
found in Personify and a Contact Tracking item cannot be created - when users
try to send an email, meeting request, or task and the plug-in cannot find the
recipient(s) in Personify and, therefore, a contact tracking record will not be
created, the Personify Alert screen above will be displayed. If users select
this checkbox, the message displayed will be created as a note:

If users select the Save as an Outlook Note checkbox
from the Personify Alert screen, the “Always create a note in Outlook when recipient(s)
are not found in Personify and a Contact Tracking item cannot be created”
checkbox on the General tab of the Personify Account Settings screen will also
be selected.
Note: To view notes in Outlook,
make sure that the notes button is added to the navigation bar at the bottom of
the Outlook window. Users can work with the IT Infrastructure screen to get
this option to appear.

Always create contact tracking records for all
individuals using the same e-mail address - when sending an email, meeting
request, or task, if multiple individuals share the same email address users
can choose to always create a contact tracking records for all of the
individuals. If you select this checkbox, the following message will NOT be
displayed when multiple email addresses are shared:
Note: The AOA does not allow for
the sharing of email addresses in Personify. This should not occur in common
practice.
To select general Outlook plug-in options:
1.
From the Personify Account Settings screen, select the General Tab.

2. From the Select
Personify Alert Settings section, check the following checkboxes as necessary:

Don't alert me when recipient(s) are not found in Personify and a
Contact Tracking item cannot be created
·
Always create a note in Outlook when recipient(s) are not found
in Personify and a Contact Tracking item cannot be created
·
Don't alert me when a Contact Tracking item is created
successfully
3. From the Select
Contact Settings section, check the following checkboxes as necessary:
·
Always create contact tracking records for all individuals using
the same e-mail address
·
Don't set Flag Status for individuals having email addresses in
Personify database
4. Click Apply.
5. To close the
Account Settings screen, click OK.
