Creating/Maintaining Product Warehousing

Creating a new warehouse includes the creation of a warehouse bins.  Every warehouse must have at least one bin defined.  Should an organization not want to track by bin location, can just use a dummy-code for the bin.  Warehouses and bins can only be associated with individual inventory products, not standing order products.  Warehouses and bins can be assigned to non-inventoried products, so that packing slips can be generated.

Bins can be made Inactive.  The user at that point cannot add inventory to this bin without verifying that is going to Add a new bin location.  When adding a new bin location, the system checks to see if an inactive record of this bin exists prior to creating a new record in the inventory product detail.  If the bin exists, but is inactive, the system will make it Active.

To add a new warehouse, from this Shipping and Inventory tab on the ribbon, click on the Warehouse Maintenance.

The Warehouse Definition | Search screen will display.

1.    Click on the Create New Product Warehouse button.

2.    On the Warehouse Definition | Details section update the warehouse information.

a.    Enter the Warehouse Code.  This is a unique code for the warehouse.

b.    Enter the Warehouse Name.

c.    Select a Country from the drop down to indicate where the warehouse is located.

d.    Enter the Postal Code.  This if for informational purposes only.

e.    Update the checkboxes as they apply.

                                          i.    Validate Bins:  When an organization wants to track bins, check the Validate Bins box.  If there are no restrictions as to where the products are stored within a warehouse or if there are too many bins to maintain administratively, uncheck the Validate Bins box.

                                         ii.    POS:  This is the Point of Sale (POS) and identifies any warehouse that will be used for POS Transactions.  The POS warehouse is used for on-site sales such as meetings.  An on-site warehouse at a convention, for instance, assumes that the product is delivered directly to the customer and no shipping is required.  Personify treats POS warehouses, as they were storage warehouses.  Even in a product being ordered is backordered, Personify will not select a POS warehouse. 

                                        iii.    Active:  (selected by default) this indicates if the warehouse can be used to receive inventory.  If this checkbox is NOT selected, contains inventory, and has been assigned to an order, the order will still be fulfilled from this warehouse.

            When inactivating a warehouse, the system will prompt the user with the following:

Inactivating this warehouse will inactivate all product detail records for products assigned to this warehouse.  This action cannot be undone.  Do you want to proceed?

Yes:  If selecting yes, the warehouse and ALL of the product warehouse detail records will be inactivated.

No:  If selecting no, then this warehouse will be inactivated and no product warehouse details records will be affected.


 

3.    From the Bins within this warehouse section, click on the Add button to add a bin.

4.    In the Bin Detail section, update the Bin Location.

5.    Save  any changes made to bins created or modified.
