Membership Product/Classification Change

Members can change their membership product, however ONLY in the first 3 months of their cycle year.  This means that all membership product code changes have to be complete by April 30 to be effective for the year. This is a common process for AOA and affiliates at the time of annual renewals. You should open the current or future membership order where the change needs to occur.To change a membership product or perform a classification change on a membership order:
  1. From the Order Entry screen in Personify360®, click the Add a Line Item button in the Vie Product Information section of the screen. A blank line will be added to the Order Detail section below.

  1. Use the Product Research tab, or the Product Code hyperlink to search for and add the new AOA affiliate membership product code to the order. Any subsequent component products such as the AOA PR assessment, affiliate dues products, PAC contribution or society products appear.

  1. Save any changes to your order before making additional changes. Use the Save button at the bottom of the Order Entry screen, or utilize the save  button in the upper right-hand corner.

  1. Update your new membership products to have the correct begin and end dates.

To update your begin and end dates of membership, utilize the Show Full Line Item Details screen:

  1. Click & highlight the master AOA Affiliate order line. This is the master product which is NOT indented as a component.
  2. Use the right mouse click button to access the sub menu and select the Show Full Line Item Detail option. Alternatively, click the Show Full Line item Detail screen task from the Work with Line Items category. The Line Item Details screen will open.

  1. Click the Product Specifics tab of the screen.
  2. Select 'Classification Change' from the Change Reason drop-down menu.
  3. Update the cycle Begin Date as needed. Upon changing the date, use your Tab key to force Personify to update the cycle End Date automatically.
  4. Click the Save button to save your changes. Click the Close button to close the Line Item Details window.

  1. To correct the order lines of this order, you must cancel the original product codes. This must be done to correct the order balance, and before you transfer any money paid to the original lines.
    1. Click and highlight the original AOA Affiliate product order line. This is the master product on the order, not one of the component lines such as the AOA PR assessment, affiliate dues product, PAC contribution product, etc.
    2. Right-mouse click on the line, and select Cancel from the sub-menu. Alternatively, you can select the Cancel an Item from the Work with Line Items screen task category in the left panel. The Cancellation & Refund window will appear.

  1. Select "None" from the Recognized for Service drop-down to allow for any payments applied to canceled order lines to appear as a credit balance.
NOTE: It is VITAL that you select the Recognized for Service method of "None" while processing a class change. AOA recommends this as a best practice for all membership classification changes in case a credit balance exists on a sub-product or component line.
  1. Select "Classification Change" from the Reason Code drop-down menu. A Reason Code is required before you can complete the cancellation.
  2. Add any Cancellation Comments to the text area as needed.
  3. Click Process to save your change; click Close to close the Cancellation & Refund Control window.

NOTE: If your membership order has payments applied on the original product order lines, you must take the additional steps in the Membership Product/Classification Change with Payment knowledge base article. Payments applied must be transferred successful to the new product order lines appropriately.

If processed correctly, the balance of the old membership product code order lines should be $0.00 and the line status should be Cancelled. If this is not the case, enter a ticket using the AOA Service Catalog or email us at support@aoa.org.
