Funds designate the specific financial purpose of a gift. They identify the financial accounts in which Personify records gifts and pledges. If your organization has many goals for gifts, you may have different funds and only a few campaigns. You can associate funds with campaigns and appeals. When you add a fund to a gift, default campaigns or appeals can appear automatically. You can also associate GL Accounts with funds.
Defining Funds in Personify360®
The Fund Definition screen in Personify360® allows you to define funds to the system and link them to campaigns, appeals, recognition levels, and solicitation teams. This screen also serves as a basis for organizations that categorize their fundraising structures based on funds rather than campaigns.
Note: Funds are "owned" at the organization level.
The overall structure of funds for campaigns varies from one organization to another. A campaign may be the umbrella entity for multiple funds. You can even place restrictions on how and when you can use donated funds. Some examples of funds include a General Fund or Scholarship Fund.
To track when donations are made to a specific fund/campaign, ensure you link gifts to the fund or campaign as appropriate.
To define funds:
- Select Fund Maintenance from the Fund Raising section of the Personify360 menu. The Fund Definition and Maintenance screen appears on a new screen tab.

- Click the Search button to find an existing fund to make changes to; alternatively, click the Add button to create a new fund. Double click or use the View Detail button to select a current fund.

- From the Fund Definition section of the screen, Enter a Fund name. Update the other fields as needed to identify the fund further. The fund name cannot contain special characters or spaces. Underscores are allowed (_).
Note: When entering the fund name, if you tab out of the fields and Personify automatically removes the name, you entered an invalid code. Fund names cannot contain special characters or spaces and are limited to 24 characters.
- Enter a Description that best describes the fund.
- Select a Classification from the drop-down menu. We use this code to classify funds for reporting purposes—for example, a capital fund, building fund, disaster relief, or political fund.
- You can only define one recognitions structure for a campaign or fund; however, you can determine multiple recognition levels for a recognition structure. Select the appropriate Recognition Structure from the drop-down menu if necessary; this article provides more information about Recognitions Structures via the AOA Knowledge Base. Changes made to a fund's recognition structure ONLY affect future donations, not donations already entered in Personify360®.
- New funds are automatically considered Active. The green checkmark indicates you can link the fund to campaigns, appeals, recognition levels, and solicitation teams. You can only select active funds for a product or order line.
- Set the Goal Amount for the fund; this is the target amount of money the fund wants to raise.
- Use the date-picker to select the Begin Date, which is the start date for the fund. If you enter a date, Personify restricts the fund to donations received on or after a specific date. If you select an End Date, Personify360® limits the fund to donations received between the dates.

- In the Restricted Fund section, update the following parameters as needed.
- Click the Restricted Fund checkbox to indicate that the fund's purpose is restricted. Donations made to the fund must be used for the specific purpose defined or the fund.
- Use the Restricted Date checkbox to indicate the fund must be used by a specific date. If the funds are not used by the specific date, they must be returned to the donors.
- Use the free-form text area to indicate the Purpose for the restricted fund. Funds donated to a restricted are only used for the purpose of the fund.
Note: All information and data housed in the Restricted Fund section is for informational purposes only and have no functional limitation in Personify360.

- The Linked Donation Codes tab displays gifts linked to the fund. This includes donations, pledges, entered into the system or combined with products related to the fund. If this is a new fund, then no linked donations display.

Note: You can double-click on a gift to open it in the gift maintenance screen.
