AOA is transitioning its Intranet from its legacy system to the updated SharePoint platform! Join us for training to learn how to make simple changes to your department pages such as uploading documents, updating basic department information, and migrate existing content from your existing department pages to the new intranet. Learn how to navigate, and modify placeholder content.
Meeting registrations can be entered via the web or back office of Personify. Participants will learn how to assist constituents register for events online and create update registrations back office. In addition, learners will work with processing meeting registration exceptions, refunds, cancellations, and adjustments. We’ll also take payment for back office registrations, add and update badge information and review notifications sent for registration confirmation.
The AOA & affiliate websites all have a constituent profile section called “MyAOA” which allows constituents to update their profile information via the internet. Learn how to assist your constituency with accessing the web, updating the profile contact info, “Find a Doctor” information, manage staff using the Online Staff Management tool, join ancillary memberships, pay dues online, and contribute to foundations & PACs.
Membership is defined in Personify as selling a membership product to a constituent. Learn how to view and manage membership orders in Personify. Participants will learn how to update cycle begin dates, cycle end dates, proration dates, update rate codes, apply payment schedules, and take membership dues payments. Participants will also learn how to run membership rosters, reports from Personify. This course will also review the online join process, online membership dues payments, and membership invoicing.
Personify can take payments in mass; this is called lockbox process. Learn how the AOA and affiliates are processing payments using the AOALCK100 batch/TRS job. Participants will also learn how to run the job in both list and production mode, as well as make corrections to errors within the lockbox processing & error correction screen.
Student members of the AOA are slightly different from the affiliate memberships. Learn how to work and maintain student membership using the constituent importer as well as manually adding members through the AOSA and AOA org units. Students are also allowed a membership with an affiliate. Learn how to run reports for student membership and how students are automatically transitioned to affiliate memberships within their fourth year of optometry school.
Doctors of optometry can now join the AOA and an affiliate directly through the website. This is completed through the online join web application. These potential members, also known as provisional members, are crucial to the organization. Participants will have the tools and knowledge to assist these members through the online join process. You will learn how proforma membership orders are generated, how to work with notifications sent to new members and affiliate staff.
Any event which requires a registration is considered a meeting within Personify. This registration can be done either back office or on the internet through the online meeting registration web application. Participants will learn how the meeting subsystem is setup and how to create and maintain facility records within the Personify database.
Accounting & Order Entry are both base subsystems within Personify which touch many additional subsystems. It's important before becoming an expert in membership, meetings, inventory products, etc. that you have a good understanding of how the accounting transactions and orders are used within Personify. Empower yourself with the knowledge of how transactions are applied to orders, as well as invoices are sent to members. Participants will also learn how to navigate the order entry screen in Personify and all its components.
When a service has ended, product returned, or cancellation occurs on an order, a refund may be needed. The AOA has incorporated a two-step process to handle refunds within Personify. Learn how to generate a refund properly for checks, credit cards, and payment transfers.
Learners will be trained on how to search for and manage constituent records within Personify. This is done in CRM360®. You will work with background information, involvement history, contact information, and much more. Included with this training is a brief overview of the Contact Tracking module.
Inventory product management is the creation and maintenance of products to be sold on through the back office of Personify or on an online eCommerce website like the Marketplace. Participants will learn how to maintain all aspects of product creation, including the general setup, rates and pricing, general ledger and revenue account setup, shipping information and more. Learn all about how to setup products to display on the web, to relate products to one another and constituents, and more.
Microsoft OneNote is a digital notebook that will allow you to stay organized, collaborate, and gather your thoughts to make them better. Through this one-hour course, you will learn how to sort your content across notebooks, sections, and pages, highlight can't-miss notes with 'Important' and 'To-do' tags, draw your thoughts and annotate your notes using a stylus or finger, mix your media such as audio notes, instant videos, and files, and share your notebooks with coworkers.

Membership is a product in Personify, and you will learn how membership products are designed to function. This product is a service offered to constituents who which to be members of your association. A primary objective of this session will be learning the unique capabilities of membership products such as their start and end dates, fulfillment status, and more. We’ll discuss how to create, manage, and pay open orders in Personify.
There is no escaping the duplicate records within Personify. Participants will learn when looking at duplicates within the database, which information is kept and which information is deleted during the merge process. In addition, we will discuss the process of reporting duplicate records as well as the process the information technology center is using to merge identified pairs. Additional tips and tricks will be provided to learners on how to prevent duplicate records.
Any group of constituents in Personify is identified as a “committee.” Learn how to create, use, and manage committees and explore the powerful Committee Report in data analyzer.

This standalone course educates learners on all the core concepts of managing constituent data utilizing the CRM360 screen within Personify. We will tie objectives to specific areas of constituent management such as identifying the types of constituents, single sign-on authentication, updating and maintaining contact information, constituent demographics, education/license information, and relationship data for a constituent record.

Personify offers integration with three primary payment handlers, Verisign PayPal, CyberSource, and Vantiv, now Worldpay. Learners will understand how to use Personify to process credit card payments directly using one of these connections. During the session, we discuss how to store credit card information securely to CRM360 profiles for constituents, manage credit cards on orders, and automated payments, and working with credit cards through the online profile area. This course will also discuss the CCP610 batch/TRS job, which settles and reconciles credit card payments to your credit card processor.
Meeting products can be a one-time learning event or foundation gala or could be a multi-track conference with multiple pricing 7levels and cancellation fees. Trainees will learn how to setup a simple and advanced meeting in Personify. Learn how to create and maintain meeting product setup, add multilevel rates and pricing, add GL and revenue accounts, maintain tracks, add capacities and cancellation fees, and configure meeting products to appear on the web. In addition to creating master conference products, we’ll also discuss how to import breakout sessions, create badge products, and single-day pricing for meeting registrations.
