AOA recognizes that event management can be just one aspect of our affiliate's day-to-day operations. We offer event management services to help make you more efficient, getting you back to advocating for the profession, and serving our constituents.


Doctors of optometry can now join the AOA and an affiliate directly through the website. This is completed through the online join web application. These potential members, also known as provisional members, are crucial to the organization. Participants will have the tools and knowledge to assist these members through the online join process. You will learn how proforma membership orders are generated, how to work with notifications sent to new members and affiliate staff.

Many of the reports, data analyzer queries, and notifications are modified by the AOA Application Development team. We can work with you on making sure you get the outputs you need to perform the day-to-day functions to operate your association.


This training will teach you the functionality of contact tracking and how it can be used within your department. This training takes you through all the components of contact tracking, standard letters, and the use of the Personify Outlook Plugin. Included with this training is a preview of the notification system within Personify.


Any group of constituents in Personify is identified as a “committee.” Learn how to create, use, and manage committees and explore the powerful Committee Report in data analyzer.


AOA is transitioning its Intranet from its legacy system to the updated SharePoint platform! Join us for training to learn how to make simple changes to your department pages such as uploading documents, updating basic department information, and migrate existing content from your existing department pages to the new intranet. Learn how to navigate, and modify placeholder content.

As trainees start using Personify regularly, there is a requirement to reconcile Personify with your cash/bank account daily and our accounts payable systems monthly. This training will teach learners how to process monthly general ledger closes and run both batch/TRS job reports and online reports to assist with the reconciliation process.


Each month, the AOA hosts a call with all participating onboard affiliate users and stakeholders to collaborate, inform, and support your needs! This call is hosted through the Zoom platform and registration is required!


Inventory product management is the creation and maintenance of products to be sold on through the back office of Personify or on an online eCommerce website like the Marketplace. Participants will learn how to maintain all aspects of product creation, including the general setup, rates and pricing, general ledger and revenue account setup, shipping information and more. Learn all about how to setup products to display on the web, to relate products to one another and constituents, and more.


The AOA & affiliate websites all have a constituent profile section called “MyAOA” which allows constituents to update their profile information via the internet. Learn how to assist your constituency with accessing the web, updating the profile contact info, “Find a Doctor” information, manage staff using the Online Staff Management tool, join ancillary memberships, pay dues online, and contribute to foundations & PACs.


Personify Reports & Data Analyzer training is for individuals who will be pulling and or extracting data from Personify. This introduction to the reports in Personify will educate you on how to successfully pull and run the right reports for the right reasons. This training will cover the access and functionality of the three report types within Personify. This includes, batch/TRS jobs, online reports, and Webi reports accessed through Data Analyzer.


Accounting & Order Entry are both base subsystems within Personify which touch many additional subsystems. It's important before becoming an expert in membership, meetings, inventory products, etc. that you have a good understanding of how the accounting transactions and orders are used within Personify. Empower yourself with the knowledge of how transactions are applied to orders, as well as invoices are sent to members. Participants will also learn how to navigate the order entry screen in Personify and all its components.


Personify can control a constituent’s solicitation preferences through the CRM360® record. Participants will learn how to update/manage constituent contact information and how they are added/removed from the solicitation reports. You will also learn how to use the AOA Publishing report in Data Analyzer and how to request email and mailing lists from the information technology center.


Personify will process all transactions including receipts through batches. Learn how to create and manage these batches within Personify. Participants will list the types of batches used for the AOA, as well as process payments on orders. This training will also teach participants the financial policies and procedures the AOA has put in place when it comes to handling payments.


The order specialist has many tasks to complete. Order specialists are the back office users of the inventory products module. Participants will learn how to create, maintain, inventory products orders using the order entry subsystem. Learn how to take payment for orders, update shipping and billing information, and process order exceptions. In addition, learners will also gain the tools and resources to apply discounts, adjust pricing, and manage inventory of products as needed.


Product fulfillment takes learners from the start to finish process of how orders are shipped in Personify. This training also reviews how inventory is created and maintained within the system.


Any event which requires a registration is considered a meeting within Personify. This registration can be done either back office or on the internet through the online meeting registration web application. Participants will learn how the meeting subsystem is setup and how to create and maintain facility records within the Personify database.


Constituents can join the AOA and affiliates directly if they meet certain criteria. For example, the public can become members of the AOA or the PRC if they have not attended optometry school. International doctors of optometry can join the AOA directly as associates as well. Affiliate members can join other affiliates directly if they have a current membership with the AOA through another affiliate. Doctors and students of optometry can join the Contact Lens and Cornea Section if they are a current member of the AOA. These types of members are called Associate members. Learn how to view, manage associate membership in Personify. Participants will also learn how to run invoices for associate membership.

Membership is a product in Personify, and you will learn how membership products are designed to function. This product is a service offered to constituents who which to be members of your association. A primary objective of this session will be learning the unique capabilities of membership products such as their start and end dates, fulfillment status, and more. We’ll discuss how to create, manage, and pay open orders in Personify.

Personify uses the Batch/TRS system to handle significant processes in Personify, such as invoicing, automatic payment processing, payment import processing, renewals, etc. These jobs are used to update information in mass and provide an output when needed. Learners will become comfortable with the batch/TRS job submission screen and learn about applications the association will need to run.


Personify comes with several reports used in conjunction with inventory product sales, receipts, and other accounting transactions. Participants will learn how to run, read, and analyze these reports using a variety of batch/TRS jobs, Webi reports, and online reports.
